Cancellation & Refund Policy

Withdrawals must be requested in writing to the athletic director or the school office — email sms.webmaster@nsantiam.k12.or.us or call 503-769-2198. Telling a coach is not a withdrawal. The withdrawal date is the date the office receives the request.

Before the first practice: full refund of the $495 participation fee.

Within the first two weeks of the season: 50% refund, once all issued gear is returned.

After the first two weeks: no refund, because rosters, uniforms, and league fees are already committed.

If an athlete is medically disqualified before the halfway point of the season, the fee is prorated and refunded for the unplayed portion once written documentation from a licensed provider is submitted. After the halfway point, no refund is issued.

If a program is cancelled because of low participation, staffing, or a district decision, families receive a full refund or may move the fee to another eligible sport in the same school year.

No refund is issued when an athlete is removed for conduct violations, academic ineligibility, or failure to complete required paperwork or a physical.

Registrations left unpaid are held as pending and may be released if a program reaches capacity. A pending registration can be abandoned at any time at no cost.

Approved refunds are returned to the original card used at checkout and typically post within 5-10 business days of approval. Outstanding gear replacement charges are deducted first.
